Based in Germany, Arvato Systems Group specialises in IT solutions for Digital Transformation with over 3,300 staff in 25 locations around the world, including in Asia, Europe, and North America.
Instant’s Managed Office product affords companies a unique way to procure and deliver space - on time and on budget – incorporating tenant’s brand and office specifications while Instant assumes both the lease and management of the space.

Completed in January 2024, the Arvato Systems Malaysia’s office space, known as Arvato Systems Malaysia Sdn Bhd, is 26,720 sq ft in total, housing 230 employees. As part of the project, 15,963 sq ft underwent refurbishment while the additional 10,757 sq ft was given an all new bespoke fit out.
The existing office space on the 26th floor underwent renovations to enlarge the employee hub, convert selected meeting spaces into relaxation rooms and collaborative zones, and refresh the desk solutions by introducing more spacious workstations. Simultaneously, the new setup on the 25th floor was configured to include novel training facilities, both informal and formal team meeting areas, along with a library space.
Some of the key new work and collaborative spaces in the Arvato Systems Malaysia office includes:
- The Expanded Office Hub: this is the heart of the office with a warm and inviting feel. The communal kitchen/cafe features a large communal table. window-bench seating, gaming spaces and wide-open ceilings.
- Open Collaboration Areas: these informal loose settings with different illumination levels, materials and themes act as informal meeting spaces and are perfect for brainstorming sessions with moveable writing surfaces.
- Projects Rooms: more private in nature, these closed rooms were designed for informal and formal meetings requiring visual privacy with integrated technology and writing surfaces included.
- Ideation Room: a space design for the creation and implementation of ideas. The informal and loose furniture, biophilia, moveable writing boards and relaxed environment offers a collaborative setting for employees versus a traditional training room set-up.
- Power Nap rooms: these acoustically dampened rooms feature pods designed for relaxation and naps, providing a sanctuary for staff to escape their busy schedules and reset as needed.
Split over two levels the new office is now open, bright and colourful throughout. Featuring a rustic interlinking staircase, this structure acts as an integral part of the office set up by encouraging seamless movement and connectivity between the two levels ensuring flow between all spaces and staff.
